Email providers and company gateways can reject large attachments, while recipients on mobile data may struggle to download them. The best email PDF is small enough to send but still clear at normal zoom.
Start with balanced compression
Upload the file to Compress PDF and begin with Recommended compression. Use a strict target only when the email system gives a clear limit. Extreme compression is rarely necessary for an ordinary report or invoice.
Reduce size before reducing quality
- Delete blank and irrelevant pages.
- Crop oversized scan margins.
- Use grayscale for text-only scans when colour has no meaning.
- Split a very large document when the recipient does not need every section at once.
Check the attachment
Open the downloaded result and inspect small text, signatures, charts and photographs. Keep the original until the recipient confirms the compressed copy works. For confidential documents, verify the recipient and avoid public share links unless access is controlled.
