Choose a PDF tool by the result you need: combining documents, changing pages, reducing file size, extracting editable text or protecting a copy. The ten tools below cover common document tasks, but their limits and processing methods differ. Read each tool's disclosure before opening a confidential file, keep an unchanged original and inspect the saved result before sharing it.
1. Merge PDF: assemble one document
Merge PDF combines separate PDFs into one output. For a job application, place the cover letter before the resume and any required certificates after it. Check thumbnails and the final page count; similarly named attachments are easy to put in the wrong order. Combining documents does not rewrite their contents or make scanned text searchable.
2. Split PDF: send only the required section
Split PDF extracts page ranges into separate PDFs. Use it when a recipient needs one chapter or a portal requests individual documents. Check the viewer's page position against printed page numbers, which can differ after a cover or index. Splitting a document into readable PDFs is different from cutting its bytes into transfer chunks.
3. Compress PDF: reduce attachment size
Compress PDF can reduce image-heavy documents. Start moderately, inspect small text and photographs, and measure the final download. An already optimized file might not shrink. The compression benchmarks show exact results for specific public samples and distinguish browser from server processing. They should help set expectations rather than promise a universal saving.
4. PDF to Word: recover an editable draft
PDF to Word creates a document you can edit when the source file is unavailable. Review reading order, tables, headers and line breaks before making changes. Text arranged visually in columns may not reconstruct into the same paragraph structure. Keep the PDF for comparison and treat the conversion as a draft rather than an exact replacement.
5. OCR PDF: recognize text in scans
OCR PDF recognizes printed characters in page images. A clearer, upright scan gives the recognition engine better input. Proofread names, dates, amounts and reference numbers, especially where stamps or handwriting overlap text. A searchable text layer is useful for retrieval, but recognition errors can remain even when the page still looks correct.
6. Organize PDF: fix page order
Organize PDF is useful after scanning a stack of paper. Reorder pages, rotate sideways sheets and remove accidental blanks using thumbnails. Check the beginning and end of each section after saving. Rotate the actual page when needed; changing the viewing orientation alone may not change how another person sees the downloaded document.
7. Sign PDF: place a visible signature
Sign PDF lets you place a signature without printing and rescanning. Check its position at normal reading size and verify that it does not cover important text. A visible signature image and a certificate-backed digital signature have different properties. Confirm what the recipient accepts before choosing a method, particularly for formal submissions.
8. Redact PDF: remove sensitive content
Redact PDF is intended for removing information from a sharing copy. Covering text with an ordinary black shape can leave the underlying text accessible. After applying redaction, search for the removed phrase, try copying text from the area and inspect the output in another viewer. Check attachments and metadata separately when the sharing task requires it.
9. Protect PDF: control access to a copy
Protect PDF adds password protection. Use a strong password and send it through a separate channel from the attachment. Keep a safe original and test whether the saved copy opens with the expected password. Printing or copying restrictions do not prevent somebody from photographing a visible page, so match the sharing method to the information involved.
10. Add a watermark: label draft status
Add Watermark marks pages as a draft, sample or copy. Choose opacity and position that keep the underlying material readable, and inspect both portrait and landscape pages. A watermark communicates status; it does not remove confidential information or prove ownership. Check that the label appears on all intended pages before sending the file.
Combine operations in a deliberate order
For a scanned application pack, organize pages first, recognize text if needed, combine the requested documents and then test compression. Check signatures and access protection after every modification that could affect them. Download the final copy and compare it with the submission checklist. Performing one operation at a time makes it easier to identify which step introduced a problem.
